We built Worklicant to connect employers and candidates. We collect only the data we need to do this, and we never sell personal data.

1. Who we are

Worklicant is operated by Techlicant LLC, a company registered in the State of Wyoming, United States, 1021 E Lincolnway #10465, Cheyenne, WY 82001, United States ("we", "us"). Worklicant is available to employers and candidates worldwide.

  • For account, talent pool, billing, support, and security data, we are the controller. This means that we decide how and why the data is processed.
  • For an application to a vacancy, the employer that published the vacancy is the controller, and we process the application on the employer's behalf. The employer decides how it uses your application in its hiring process.

If you want to use your rights for an application, you can contact the employer or us. We help the employer to reply.

2. Data we collect

  • Account data: name, email address, time zone, password (stored only as a secure hash), and your account type (candidate or employer).
  • Application and profile data: your resume file, the text that we extract from it, your work experience, your cover letter, your answers to vacancy questions, and the contact details you give.
  • Employer data: organization name, team members, vacancies, and the notes, tags, stages, and folders that employers add to applications.
  • Messages: chat messages between candidates and employers, and support requests that you send to us.
  • Billing data: purchase records, credit balance, and order details that we get from Polar. We do not receive or store full card numbers.
  • Technical data: IP address, browser and device type (user agent), language, and logs of security and system events.

3. How we use data

  • to create and operate your account;
  • to send your application to the employer of the vacancy you applied for;
  • to help employers review applications, including with the AI features described below;
  • to show your profile in the talent pool, only if you choose to join it;
  • to send emails about your account, applications, and messages;
  • to process purchases and keep accounting records;
  • to answer support requests;
  • to prevent fraud, spam, and abuse, and to keep Worklicant secure;
  • to fix errors and improve Worklicant;
  • to meet our legal obligations.

Where the law requires a legal basis for processing, we use these bases:

  • Contract: to provide the account and the services that you ask for, and to process purchases.
  • Consent: to send your application to an employer and to show your profile in the talent pool. You can withdraw your consent at any time. This does not affect processing that occurred before you withdrew it.
  • Legitimate interests: to keep Worklicant secure, to prevent fraud and abuse, and to fix errors and improve the service. We use this basis only when your rights do not override our interests.
  • Legal obligation: to keep tax and accounting records and to reply to lawful requests from authorities.

We do not use your data for advertising.

4. AI processing

We use automated tools, including AI models from service providers, to read resume files, extract work experience, add skill tags, give a fit score for a vacancy, and support search. Our providers process this data only to give us the results. We do not let them use it to train their models where they give us this option.

An employer can set rejection rules for a vacancy. If an application matches these rules, it is marked "auto-rejected". The employer can always see and review these applications. If you think an automated result about you is wrong, contact us and we will ask the employer to review your application manually.

5. Talent pool

Joining the talent pool is optional and is available only with a candidate account. You can join when you create the account, or later in your candidate profile.

If you join it, employers on Worklicant can find your applications, profile, and resume in search and contact you about other vacancies. If you do not join it, or if you apply without a candidate account, only the employers whose vacancies you apply for can see your application.

You can leave the talent pool at any time in your candidate profile. After you leave, new searches do not show your profile.

6. Who we share data with

  • Employers: the employer of each vacancy you apply for, and, if you join the talent pool, employers that search the talent pool.
  • Service providers that process data for us under contract:
    • application hosting and database: OVHcloud (London, United Kingdom);
    • file storage for resumes: DigitalOcean;
    • email delivery: Resend;
    • payments and invoicing: Polar (Merchant of Record);
    • AI and resume processing: Mistral AI, Groq, SiliconFlow, OpenRouter, and TypeSafe;
    • error monitoring: Sentry;
    • privacy-friendly website analytics: Plausible;
    • internal support notifications: Telegram.
  • Authorities: when the law requires it, or to protect the rights and safety of our users and of us.
  • A buyer or successor: if we sell or merge our business. Your data stays protected by this policy.

We never sell personal data.

7. International transfers

Our company is registered in the United States, and our main servers are in London, United Kingdom. We and our service providers process data in the United Kingdom, the European Union, the United States, and other countries. These countries can have data protection laws that are different from the laws of your country.

When we transfer personal data from the European Economic Area, the United Kingdom, or Switzerland to other countries, we use a lawful transfer mechanism, for example the Standard Contractual Clauses of the European Commission or the data transfer frameworks that apply.

8. How long we keep data

  • We keep account and profile data while your account is active. When you ask us to delete your account, we delete or anonymize it within 30 days.
  • We remove unconfirmed accounts after 30 days.
  • We keep applications while the employer's account is active, or until you ask us to delete them. Employers can also keep copies they made under their own retention rules.
  • We keep billing records for as long as tax and accounting laws require.
  • We keep security and system logs for a limited time.

9. Your rights

Depending on where you live, you can ask us to:

  • give you a copy of your personal data;
  • correct data that is wrong or incomplete;
  • delete your data;
  • limit or stop some processing, or object to it;
  • give your data to you in a portable format;
  • withdraw your consent, for example by leaving the talent pool.

To use these rights, email aziz@worklicant.com. We reply within 30 days. You can also complain to the data protection authority in your country.

10. Region-specific information

European Economic Area, United Kingdom, and Switzerland

  • You have the rights in section 9 under the GDPR and the UK GDPR. The legal bases that we use are in section 3.
  • You have the right not to be subject to a decision based only on automated processing that has a legal or similarly significant effect on you. AI results on Worklicant help the employer, and the employer can always review them. You can ask for a human review at any time.
  • You can complain to the data protection authority in the country where you live or work.

California and other US states

  • You can ask to know what personal information we collect, use, and disclose, and you can ask us to correct or delete it.
  • We do not sell personal information, and we do not share it for cross-context behavioral advertising.
  • We do not treat you differently because you use your privacy rights.
  • An authorized agent can send a request for you. We can ask the agent for proof of permission and ask you to confirm your identity.

Other countries

If the law of your country gives you other privacy rights, you can use them by contacting us. We reply as the law of your country requires.

11. Cookies and analytics

We use only the cookies that Worklicant needs to work: a session cookie, a security (CSRF) token, your language preference, and an optional "remember me" cookie that is valid for 14 days. We use Plausible for website analytics. Plausible does not use cookies and does not collect personal data. We do not use advertising or tracking cookies.

12. Security

We use encryption in transit (HTTPS), hashed passwords, access controls, and limited access for staff. No system is fully secure. If a data breach affects you, we tell you and the authorities when the law requires it.

13. Children

Worklicant is not for people under 16. We do not knowingly collect data from children. If you think a child gave us personal data, contact us and we will delete it.

14. Changes to this policy

We can update this policy. If a change is important, we tell you by email or on Worklicant before it starts to apply. The date at the top shows the latest version.
